Office Coordinator This is a full-time, permanent position with an expected start date of July 1, 2026. Location & Hours On-site at Distress Centre Calgary, 999 8 Street SW, Suite 500 . What to Expect The Office Coordinator manages all front desk and administrative processes while promoting cost efficiencies, operational consistency, and smooth day-to-day office activities. What You’ll Do Workplace Operations & Office Coordination Coordinate day-to-day office operations, workplace logistics, and administrative support. Identify and solve operational issues to keep the office organized and running efficiently. Coordinate office maintenance, repairs, cleaning, security access, and vendor services. Support workstation setup, office moves, meeting rooms, and workspace readiness. Manage office, kitchen, and workplace supplies and inventory. Act as the main contact for building management, contractors, and service providers. Maintain vendor files, service records, and operational documentation. Support purchasing, renewals, and workplace cost efficiencies. Coordinate parking assignments, building access, and workplace organization. Prepare reports, schedules, correspondence, and tracking documents as needed. Technology, Equipment & Operational Support Coordinate setup, tracking, maintenance, and recovery of organizational equipment and technology. Provide first-level troubleshooting for office technology, equipment, and workstation issues. Support staff with equipment setup and operational technology needs. Maintain inventory and asset records for office equipment and hardware. Track repairs, replacements, and upgrade needs. Support workstation and operational readiness for contact centre teams. Onboarding, Offboarding & Staff Support Coordinate onboarding and offboarding including workspace setup, building access, and equipment distribution. Support account access requests, deactivations, and equipment recovery. Assist with staff orientation and workplace setup. Coordinate Cybersecurity Awareness Training tracking and reporting. Maintain onboarding, offboarding, and equipment records. Reception & Front Desk Coordination Coordinate front desk operations and reception scheduling. Provide reception coverage as needed for phones, visitors, and inquiries. Support volunteer reception staff and reception procedures. Maintain a professional and welcoming reception environment. Health, Safety & Compliance Support workplace health, safety, and compliance processes. Maintain incident reports, safety records, and emergency contact information. Assist in identifying workplace hazards and operational concerns. Support adherence to organizational operational, security, and administrative procedures. Other related duties as assigned. What You Bring Post-secondary education in office administration, operations, business support, or a related field is preferred. 3–6 years of experience in office operations, workplace coordination, facilities, administration, or operational support. Non-profit experience is an asset. Strong problem-solving skills with the ability to troubleshoot issues and find practical solutions. Comfortable managing a variety of responsibilities and shifting priorities in a dynamic environment. Organized, dependable, and able to create structure and follow-through in day-to-day operations. Strong interpersonal and communication skills with a collaborative and service-oriented approach. Proven ability to work respectfully and effectively with people from diverse backgrounds and lived experiences. Confident using office technology, workplace systems, and business software platforms.
