Job summary Reporting to the Director of Human Resources, the Human Resources Coordinator plays a key role in delivering day-to-day HR operations across the firm. This position serves as the first point of contact for routine HR inquiries, supports recruitment and onboarding processes, and ensures accurate and timely HRIS data management. The Coordinator provides administrative and process support across the employee lifecycle, maintains HR documentation and records and assists in the delivery of HR programs and services. This role requires strong attention to detail, a customer-service mindset and the ability to manage multiple priorities while maintaining confidentiality. This is a one-year term position. This position is fully remote; however, the successful candidate must be located in a city where MLT Aikins has an office to support collaboration and operational needs. Responsibilities include: HR service delivery Serving as the first point of contact for routine HR inquiries through the HR service desk, providing timely, accurate and professional responses using established templates, tools and knowledge resources Triaging incoming HR requests and escalating complex or sensitive matters to the appropriate HR team members, ensuring clear handoffs and timely follow-up Tracking inquiries and requests to ensure completion within established service standards Supporting the maintenance and day-to-day administration of HR policies, processes, programs and benefits by responding to inquiries and directing employees and managers to appropriate resources Providing administrative and process support for payroll, recruitment and other HR operations, including preparing standard employee documents such as position changes, title changes and employment verification letters Supporting the HR team by coordinating meetings, preparing documentation and assisting with day-to-day activities. Recruitment support Providing administrative support for recruitment and talent acquisition activities, including preparing recruitment documentation, drafting and posting job opportunities and setting up requisitions in applicable systems Supporting student recruitment initiatives and related activities, including preparing student recruitment packages, coordinating interview day logistics and assisting with recruitment materials Preparing candidate and onboarding packages, ensuring all required documentation is completed accurately and on time Providing administrative support to the HR and Talent Specialist with recruitment processes HRIS, data and reporting Executing core HR processes across the employee lifecycle, including onboarding, employee changes (role, compensation, status), leaves and offboarding Completing accurate and timely data entry in HR systems, including ADP Workforce Now, and maintaining up-to-date employee records Ensuring all required HR documentation is completed, tracked and filed accurately in accordance with firm standards and privacy requirements Supporting regular data audits and system checks to maintain the accuracy and reliability of HR records Generating standard HR reports and summaries as requested Tracking and submitting HR-related invoices and supporting documentation for processing and payment Qualifications include: Completion of a post-secondary degree or two-year diploma in Human Resources, along with a minimum of two years of related experience CPHR designation, or progress toward the designation, is considered an asset Excellent verbal and written communication skills Proficiency in Microsoft Office Suite, HRIS and payroll software Strong organizational skills and the ability to manage competing priorities and deadlines Demonstrated commitment to providing excellent customer service Proven ability to work in a fast-paced environment while maintaining confidentiality and attention to detail Strong initiative and the ability to work collaboratively in a team environment Experience supporting recruitment coordination and HR administration is considered an asset We offer: A competitive salary including individual performance bonus Comprehensive coverage for dental, health and wellness benefits Access to group savings plans and investment options Earned Days Off Program Growth and development opportunities Mentorship and support Ongoing job-specific training and opportunities for professional development A positive and inclusive work environment Our Diversity Statement MLT Aikins is an equal opportunity employer and is committed to building an inclusive and diverse work environment.
